Supplier Data Sharing Agreement (SDSA)

Effective date: 27 October 2025

This Supplier Data Sharing Agreement (“Agreement”) explains how personal data provided through the Lakeland Life C.I.C contact form (“Event Enquiry”) is collected, used, and shared between the following parties:

• Lakeland Life C.I.C (“we”, “us”, or “our”) – the event management company responsible for planning and coordinating events.
• Approved Suppliers – third-party private businesses, Community Interest Companies (CICs), or charities authorised and contracted by Lakeland Life C.I.C to supply goods or services at events (for example: caterers, marquee providers, entertainers, and venue partners).
• The Event Organiser (“you” or “your”) – the individual or organisation submitting the enquiry and providing event information.

1. Purpose of Data Sharing

Your personal data and event information are shared only as necessary to obtain quotes, confirm availability, and deliver event-related services. This may include sharing details such as:

• Your name, company name (if applicable), and contact details
• Event date, type, and location
• Relevant logistical details (e.g., power requirements, number of guests, equipment needs)

Information concerning health, accessibility, or dietary requirements will not be shared with suppliers at the quotation stage. Such information, where relevant, will only be disclosed later and only to those suppliers directly responsible for accommodating such needs.

2. Lawful Basis for Processing

The lawful basis for sharing this data is:

• Article 6(1)(b) – processing necessary for the performance of a contract or to take steps prior to entering into a contract; and
• Article 6(1)(f) – the legitimate interests of Lakeland Life C.I.C in facilitating event planning and coordination with approved suppliers.

3. How Suppliers May Use Your Data

Approved Suppliers are required to:

• Use your data only for quoting, planning, and delivering services related to your event.
• Not contact you directly for marketing or unrelated services.
• Keep your data secure and confidential in accordance with the UK GDPR and Data Protection Act 2018.
• Delete or return your data once the event is complete or after their own lawful retention period, as required by their compliance procedures.

4. Data Security

Lakeland Life C.I.C implements appropriate organisational and technical measures to protect your data, including secure data storage, access controls limited to authorised staff and approved suppliers, and encrypted communications when feasible.

5. Data Retention

Your personal and event information will be retained only as long as necessary to fulfil the purpose for which it was collected, including any legal, accounting, or reporting requirements. Lakeland Life C.I.C currently follows the maximum legal retention period permitted under UK law. Suppliers may retain data for their own compliance purposes, but must not retain your information longer than is reasonably necessary.

6. International Transfers

We do not routinely transfer data outside of the United Kingdom. If an international supplier is engaged, such transfers will only occur where adequate safeguards (such as UK GDPR-approved transfer mechanisms) are in place.

7. Your Rights

Under the UK General Data Protection Regulation and Data Protection Act 2018, you have the right to:

• Request access to the data we hold about you
• Request correction or deletion of your data
• Object to processing or restrict how your data is used
• Withdraw consent for marketing communications at any time
• Lodge a complaint with the Information Commissioner’s Office (ICO) if you believe your rights have been infringed

By ticking the box on our contact form and submitting your enquiry, you confirm that you have read and understood this Supplier Data Sharing Agreement and consent to the controlled sharing of your event data with our approved suppliers for quotation and event delivery purposes.
